As an Executive Assistant, you provide top-level administrative support and assistance to the Executive Team members of the European Head Office. You work closely with a team of Executive Assistants and report to the Executive Assistant Manager. Your primary responsibility will be to support the CFO and the Director of Investor Relations, with flexibility to adapt as corporate priorities or support needs evolve.
LET’S TALK ABOUT YOUR RESPONSIBILITIES!
Executive Support
Provide comprehensive administrative assistance to your Executive and his teams, including complex calendar and meeting management, document handling and signing, digital and physical filing, internal and external communications, presentation preparation, expense reporting, and travel arrangements.
Support teams reporting to the CFO, including assisting the accounting team during statutory audits and supporting the tax team in interactions with tax authorities.
Meeting & Event Coordination
Organize and support Executive and Investor Relations and meetings across Europe, including travel and hotel arrangements, agenda preparation, document circulation, and coordination with local contacts and conference organizers.
Project & Team Support
Provide dedicated support to the Investor Relations Director, including management of the Investor CRM; coordination of earnings calls, capital markets days, roadshows and company visits; maintenance of the IR calendar; support in preparing Group financial communications (Annual and Half‑Year reports); support to press releases and distribution of disclosures via Euronext, FSMA and other channels, including updates to the corporate website.
Process Improvement
Drive standardization by creating process descriptions, flowcharts, and checklists. Proactively identify opportunities to enhance workflows and team efficiency.
Meeting Participation
Attend meetings when required, take minutes, and ensure follow-up on action items.
Office Management Support
Act as a point of contact for office-related matters in the European Head Office, ensuring smooth daily operations in collaboration with other Executive Assistants.
